Tape cleaning, a recognized requirement
This presentation on best practices for Digital Media Archiving, focusses on the essential role of magnetic tape cleaning in the digitization workflow.
The lines visible in the screenshot of a digitized U-matic cassette are known as dropouts. These are typically caused by loose particles on the tape surface. Digitizing old analog videotapes (e.g. BetacamSP, VHS, U-matic, MII, 1-inch) without prior machine cleaning leads to such dropouts, compromising image quality. (link to video clip in next slide)
Best practices and guidelines
Tape cleaning machines are not optional, they're an internationally recognized requirement for preservation-grade digitization, mandated by:
  • UNESCO - Magnetic tape alert project (link below)
  • IASA - Best practices and recommendations
  • CCAAA

Why tape cleaners matter
Cleaning a tape not only protects the playback machines, but also flags mechanical issues before they cause problems, such as sticky tape, binder degradation, or damaged cassettes.
This step ensures the tape is safe to handle and identifies whether a cassette is even fit for digitization in the first place. A playback machine should not be used to verify the condition of a tape; that is what cleaning machines are for.
At NextArchive, our approach always starts from the final goal: to produce digital files that truly preserve the fidelity of the original carrier. From there, we define the necessary tools, workflows, and training to meet that standard.
We’re here to support your organization in establishing a reliable, high-quality digitization infrastructure, or to help optimize and future-proof your existing workflow.

Benefits of tape cleaning
Protects Playback Equipment
Prevents damage to sensitive components from degraded tape materials
Identifies Mechanical Issues
Flags problems like sticky tape, binder degradation, or damaged cassettes, or broken tape
Ensures Safe Handling
Verifies if a cassette is fit for digitization before risking tape threading and playback
Improves Quality
Ensures consistent playback quality, reduces dropouts

Risks of skipping the tape cleaning phase
Equipment Damage
Clogged heads, damaged tape guides requiring costly repairs
Tape Damage
Irreversible damage to original archival materials
Warranty Void
Improper handling may void playback equipment warranty from NextArchive
Degraded image quality
Risk of dropouts, black or white lines. Some clearly visible, others small and subtle, yet undesirable.

Tape Cleaner: first line of defense
More than just cleaning
A tape cleaner serves as critical quality control in the digitization workflow:
  • Identifies tapes requiring special handling (baking)
  • Prevents contamination between tapes
  • Prevents damage to the video heads
  • Prevents head clogging, keeping operators motivated
  • Reduces downtime
